Tennis Racquet Stringing Software for Microsoft Retail Management System

Tennis Racquet Stringing Software - Custom Work Order Extension Add-in for Microsoft Dynamics RMS

Tennis, squash and other racquet sports stores often provide a customer service known as racquet stringing. The service is provided by certified technicians with help of special equipment. For those tennis, racquetball, squash and other racquet sports specialized stores which use Microsoft Retail Management System 1.2, Retail Hero offers a special Tennis Store Point Of Sale ( POS ) RMS Add-in.

Racquet stringing is a service which normally would be handled by RMS Work Order functionality. Unfortunately, the existing Work Order in Microsoft Dynamics RMS v 1.2 is insufficient to capture all necessary racquet stringing job details. Retail Hero has built a custom RMS add-on Tennis Store Point Of Sale ( POS ) (the project name Racqueteer 2.0) to address this particular business requirement. Similar approach in building RMS Work Order extensions  may be applied to other retail verticals.

Racquet Stringing Software POS Screenshots and Description:

Screen 1. A standard RMS Work Order screen. The Racquet Stringing add-on is only accessible when tennis store POS is in the Work Order mode. Click Racqueteer 1.2 button.

Screen 2. The customer information is populated from RMS Work Order screen or can be entered by clicking the Select Customer button. By clicking Sport radio button the list of available in store racquets, strings and parts is filtered according to the selected sport. The filter is based on Department/Categories and is configurable. To add a new racquet click Buy New next to the Racquet Name.

Screen 3. This screen allows you to pick a new racquet from the store inventory.

Note: Not always the customer buys a new racquet or any other component (string, part, grip) of the order at the time of placing the order. Sometimes they bring their own racquet, string or any other part and request the service only. If it is an existing customer’s racquet, the name of the racquet may be just typed into the field; the system then would prompt to accept a new racquet (string, part, grip) and store this racquet name in the customer profile.

In addition, a customer may have many racquets - each with its unique characteristics. The Tennis Store Point Of Sale ( POS ) RMS add-on tracks all known customer's racquets and their history so if it is a repeat order, a previous order associated with the same racquet may be pulled out using History button and all order work order setting will be automatically populated. This is so because sometimes customers don’t remember how the racquet was strung last time and to lessen manual input.

Screen 4. All relative parameters of the racquet stringing job are filled according to the customer's requirements. When the work order is ready, the cashier clicks Generate button.

Screen 5. At this point the Tennis Store Point Of Sale ( POS ) screen closes and all items that have been selected to be purchased are added to the POS transaction along with the service fee and other information. The cashier then tenders the transaction in ordinary manner to accept deposit.

Screen 6. After the work order is placed, a technician can complete the order. In RMS POS or on a separate computer, they launch Tennis Store Point Of Sale ( POS ) or the Racquet Stringing Module as we call it. If it is launched not from RMS POS, or if RMS POS is not in Work Order mode, Tennis Store Point Of Sale ( POS ) launches in Job Mode which only allows updating existing work orders. Click Work Flow button.

Screen 7. Multiple racquet stringing work orders may be active at the same time. The list is sorted by Date Due field. The technician selects an existing work order to work on it.

Screen 8. The only fields available to the technician at this point are Status (must be set to Complete at the end of the job), Name of the stringing machine, measured Stiffness and Notes provided by the technician. The technician can also Print Label: this function prints a customized durable label with description and work order barcode for easy retrieval in future. The label then is permanently affixed to the racquet.

Screen 9. At the time of receiving the work order, the cashier or technician follows the standard RMS POS work order recall procedure: click Recall, select Work Order, tender the balance and print receipt.
